Technology Trends
Outsourcing of Technology Services

Outsourcing of technology services is beginning to revolutionize the way business deal with information technology.  “Managed Services” allows small and mid-sized businesses to outsource their day-to-day IT responsibilities.

Managed Services, provided by an outside firm, allows technology consultants to monitor and maintain your network for the purpose of identifying and resolving network issues.  Many times, providers are able to identify and repair problems before clients know about them.  Outsourcing of technology services is beginning to revolutionize the way business deal with information technology.  “Managed Services” allows small and mid-sized businesses to outsource their day-to-day IT responsibilities.

Many times, providers are able to identify and repair problems before clients know about them.

Business owners are beginning to recognize the benefits of having experts maintain their network.  Since managed service providers  support multiple customers, clients share the cost of having a large IT team working for their company.  Businesses that rely on a centralized server database to enter data, retreive information and serve customers, benefit the most from manged services.  Companies that are facing challenges maintaining their current hardware and software programs and those who require a secure data transactions also benefit the most from outsourced technology services.

With managed services, business can focus on their core operations instead of responding to low-level network demands and navigating unfamiliar territory.  Companies can also access the latest technologies such as new software products or a new operating system (such as Microsoft Vista) more easily.

If you are thinking about implementing managed services, get to know your provider and make sure to select the right one for you company and industry.  Make sure you select a company with proactive steps to keep your network up and running.  And finally, be sure they provide you with regular network updates, performance reports, and technologyrecommendations.

How Valid is Your Email Evidence?

Email has become the technology of choice for communicating with clients, businesses, and employees. However, few people know that emails provide little evidentiary value. In case of a dispute many lawyers may not realize that recipients of an email messages can easily change the text, content, time sent, and attachments. When email messages do not contain enough evidentiary value, a case can easily be lost.

Rpost

Registered email messages, such as RPost, protects the sender with recorded proof of the entire email transaction by providing legally valid evidence that your message was sent, that it was received and when, along with verification of email content sent, including all attachments. The Federal Government has accredited RPost Registered E-Mail .  It is even used in Congress!  RPost is also endorsed by the Cleveland Bar Association.

RPost never retains a copy so it is not subject to discovery. You can even send the registered email without notifying the recipient. RPost provides lawyers with the evidence they need in case of a future dispute. “I highlyrecommend that you use RPost Registered E-Mail for all your most important email communications. You will never be sorry and you will only have praise for this time saving and worry-saving element of your legal practice,” said attorney Alan Pearlman.

You can purchase discounted RPost Registered E-Mails from out website.  Click here to learn more about RPost Registered E-Mail.

Data Loss
Are You Protected?

  • 60% of companies that lose their data will shut down within 6 months of the disaster.  (gvda.ca)
  • 93% of companies that lost their data center for 10 days or more due to a disaster, filed for bankruptcy within one year of the disaster.
  • 50% of businesses that found themselves without data management for this same time period filed for bankruptcy immediately. (National Archives & Records Administration in Washington)
  • A single incident of data loss costs business an average of $10,000.  (Price Waterhouse Coopers Survey)

Your data is crucial to the everyday operations of your company.  Furthermore, information on your computers is extremely vulnerable to failure, viruses, human error, and natural disasters.  How well is your business protected from data loss?  Can your business survive without customer records, emails, financial information or other documents?

Unlike removable storage backup, which can be easily destroyed and difficult to process, online backup is the safest, most reliable and cost effective method for protecting your information.

DataSafe

VerData online backup service is offered exclusively to Accellis clients.  Once Accellis creates your backups, they are compressed and encrypted, then sent to highly secured server facilities via the internet.  The encryption prevents anyone from accessing your data besides you.  Your information is routinely backed up by Accellis personnel after a file has been created or edited.  Your data is completely protected from the spread of a virus, loss, or damage.

Accellis' VerData is the most reliable, secure, and affordable form of backup.  If you would like more information about VerData or any other backup or security solutions, email solutions@accellis.com or call Joe Marquette at 216.662.3200 x101.

New Features for Legal Professionals
Legal professionals now have something new to drool over.  The release of Adobe Acrobat 8 Professional is here.  Complete with state-of-the are features, attorneys and paralegals may find the updated version difficult to live without. It’s packed full of new features that allow you to easily combine files, create interactive forms and protect sensitive information.

  • Adobe has also included a tool that examines PDF documents for metadata, hidden text or comments.  This allows users to view information they would not normally see and select which portions to redact.
  • Bates numbering is another tool legal professionals will find very useful.  Users can easily number any and as many files they wish.  Just open the Bates numbering tool, select the files you wish to number and place them in the order they should appear.
  • Adobe enables shared review of a centrally located document.  Individuals can add and review comments from others, send reminders, add new participants and easily track which reviewers have contributed feedback.  Also, anyone using free Adobe Reader software can participate in document review, fill and save electronic forms offline.
  • You can alos combine multiple files, including audio and visual files, into a single polished document while maintaining digital signatures and security settings from different PDF files. You can even create  interactive, fillable forms such as human resources forms, invoices and expense reports using Adobe 8 templates that allow individuals to digitally sign documents.

Acrobat 8 Professional costs around $449 while an upgrade from a previous version will cost about $159.  Overall, the new version of Adobe Acrobat 8 will change the way legal professionals interact with electronic practices.  Give us a call or email solutions@accellis.com if you would like to order Adobe Acrobat 8 or attend a training class.

Microsoft Office 2007
Avoid Incompatibility by Downloading Free Fix

Microsoft Office 2007

You may have learned already that the lates version of Microsoft Office (2007) does not use the same file formats as Office 2000, XP, or 2003.

This can be a problem if you buy a new PC with Office 2007 preinstalled but your other office PC’s have an older version of Office.  You won’t be able to open and edit Word, Excel, and PowerPoint files on the older PC’s if those files were initially created on the new PC with Office 2007.

Fortunately, Microsoft has released a free fix that will make Office 2000, XP, and 2003 file format compatible with Office 2007. You can get the fix here. Download and install it today, even if you don’t have any PC’s running Office 2007.  Tomorrow you may begin receiving Word 2007 files as email attachment from clients and attorneys.  Without this fix, you may not be able to open them!
